Article summary
Calculate WA/WS total cost across preparation, task, field governance, exception review and expiry instead of selecting from price or column count alone.
The cost of WhatsApp number checking is not the amount displayed for the task. Total cost includes phone preparation, exception review, Excel reconciliation, field access, expiry and wrong downstream actions. A wider task can remain more expensive even when its transaction price is identical.
A total-cost formula
Use: total cost = data preparation + task processing + result acceptance + system integration + field governance + risk and rework. Record cash and labor hours for every component so internal work does not appear free.
Six cost pools
| Pool | Contains | Often omitted |
|---|---|---|
| Preparation | Country code, deduplication, TXT | Recovering damaged phones |
| Task | Selected service and processing | Wrong-task reruns |
| Acceptance | Counts, blanks, collisions | Human samples |
| Integration | Staging, reconciliation, logs | Rollback |
| Governance | Access, retention, deletion | Expiry maintenance |
| Risk | Wrong contact, complaint, master-data error | Customer-relationship repair |
Cost differences across three tasks
| Task | Core fields | Main downstream cost |
|---|---|---|
| WS Registration | Phone, registration result | State and unknown acceptance |
| WS Activity | Phone, activity time/days, mapped phone | Expiry and mapping collisions |
| WS Full Format | Wider activity, profile, avatar and business fields | Sensitive-field access and coverage interpretation |
Calculate cost per usable decision
Do not stop at cost per thousand phones. Divide total cost by records that actually enter an explainable decision: format passed, explicit result, reconciled, purpose current and no permission veto. Unknowns and collisions reduce usable yield.
An unused field still costs money
Age, gender, avatar, skin tone and business-account observations require access, retention and deletion even when omitted from a dashboard. If a column changes no decision, collecting it is pure cost and risk.
The hidden recurring cost of Activity
Activity time expires. If the business needs a 30-day refresh, annual cost contains twelve cycles, difference review and deletion. One transaction price cannot represent the year. Define refresh_after before comparing options.
Price mapping collisions
Estimate one-to-many, many-to-one and unreconciled rates, multiply by average review time and include potential rework from an incorrect automatic overwrite. Without a conflict queue, a low task price transfers cost into CRM incidents.
The TXT workflow needs reusable assets
AIPUSH accepts one phone per line as TXT and exports Excel. A standardized generator, hash, batch naming, schema acceptance and append-only observation table are reusable assets that reduce marginal cost.
Calibrate with a representative sample
Run a small sample containing real countries, formats and sources and record labor plus exception rates. Perfect test phones underestimate production work; the messiest ten percent often consumes most review time.
When a wider task is economical
A wider task may win only when several fields all change decisions in the same approved workflow and one collection removes genuine duplicate handling. When teams, purposes and retention differ, smaller separate tasks are easier to govern.
The final three procurement columns
Add cost per usable decision, annual maintenance cost and error/compliance risk beside unit price. Record unsupported claims such as ban prevention, identity verification and purchase intent. The model should reward explainability rather than column count.
