WhatsApp number checking can organize an international sales workload, but it cannot turn an unexplained phone list into an authorized prospect list. The correct order is source, relationship, regional requirements and user choice first; WA/WS registration or activity observations come later to reduce wasted work. Number checking is a data decision inside the funnel, not a permission generator.
Start with one real sales lead
Imagine a trade-show visitor voluntarily provides a phone and selects follow-up material. CRM first stores the source, time, selected channel and purpose. Only after normalization does the team decide whether a WhatsApp Registration check is useful. A purchased list, scraped page or unexplained legacy file should stop at source review rather than proceed directly to checking.

What WS Registration can remove
Registration returns the phone and observed registration result. It can reduce work on an already authorized queue by identifying observed platform state. It cannot establish that the original person still controls the number or wants a sales message. A column named platform_registration_observation is more honest than “valid customer.”
Activity should adjust human priority only
WS Activity returns phone, activity time, active days and mapped WhatsApp phone. A dated observation may help a manager allocate scarce human follow-up; it should not fire an automatic blast. A recently active contact who opted out remains excluded. A customer with unknown activity but an open service obligation must not lose support.
Create an explainable sales queue

An Excel export is not a broadcast list
AIPUSH accepts a TXT with one phone per line and exports task-specific Excel. Output first lands in staging, rejoins lead_id through an internal crosswalk and receives checked_at plus task version. The sending system reads only a final queue view, and that view must join the consent and suppression tables again.
A mapped phone is an exception clue
If a returned WhatsApp-mapped phone differs from CRM, inspect country code, number migration, duplicate contacts and historic entry. Never silently replace the primary phone and never merge two customers automatically. The sales owner needs the collision reason, supporting evidence and named resolver.
Continue the original context in the first message
A qualified follow-up identifies the sender, explains why the message is arriving and makes stopping future messages easy. It should continue the material selected by the visitor. Do not announce that “we detected your recent activity”; that creates discomfort and turns an internal observation into inappropriate customer-facing copy.
Measure funnel value, not registrations found
The number of registered phones does not prove success. Better measures include source-evidence completeness, unknown rate, collision resolution time, human effort saved within the permitted queue, reply quality, opt-outs and complaints. If checking improves apparent reach while complaints rise, the operating design has failed.
Know when to refresh and when to stop
Activity observations receive an expiry aligned with the sales cycle; they are not permanently fresh because a workbook exists. When a contact opts out, a deal closes, the purpose ends or retention expires, stop refreshing and remove observations no longer needed. Mature international outreach is defined as much by knowing when not to contact as by identifying whom to contact.
