Article summary
Decide whether checking registration or activity is necessary before a campaign—and keep consent, suppression, relevance and frequency as independent gates.
Running a WhatsApp Number Check before marketing does not make a list marketable. It can reduce uncertainty about defined platform fields, but a campaign still needs a legitimate source, matching purpose, consent where required, suppression controls and a relevant message.
Ask whether a check is needed at all
If a customer just initiated a supported conversation, the team may already have enough first-party evidence for the requested response. Checking every contact “just in case” adds processing and retention without necessarily improving the decision.
Use a four-gate admission model
| Gate | Passing evidence | Failure action |
|---|---|---|
| Source | Documented collection | Quarantine |
| Purpose | Message matches expectation | Seek new permission or stop |
| Suppression | No refusal/opt-out | Block |
| Platform observation | Required task result is current | Unknown or alternate channel |
Pick the narrow task
Use WS Registration when registration is the real question and WS Activity only when a dated activity observation materially changes an already permitted operation. Do not request Gender and Age, avatar or Full Format merely because more columns appear valuable.
Normalize without changing provenance
Keep phone_raw, country evidence and transformation reason. Ambiguous local numbers and mixed-country conflicts remain exceptions. A campaign country is not permission to add its code to every unformatted phone.
Interpret activity as perishable
Store checked_at, time zone and refresh_after. Recent activity does not show interest in this campaign, while an old activity value should stop influencing delivery priority. Avoid continuous rechecks that turn one observation into behavioral surveillance.
Design the first message around recognition
State the business, source of the relationship and useful reason for contact. Avoid artificial urgency and make stopping easy. If the recipient cannot reasonably recognize why the message arrived, the workflow failed before deliverability matters.
Coordinate frequency across teams
Sales, support and regional marketing need one suppression and frequency view. A contact should not receive three similar introductions because separate teams uploaded separate TXT files. Batch ownership and campaign_id belong in the internal crosswalk.
Measure harm as well as response
Track opt-outs, complaints, unknown provenance and repeat contact alongside replies and conversions. Compare with a permission-only baseline. If checking does not create measurable operational benefit, reduce or remove it rather than collecting more fields.
