Five beginner questions explain WhatsApp registration checking, TXT input, Excel fields, task choice, validation, and permission boundaries.
A WhatsApp Number Checker does not automatically transform a phone list into “qualified customers.” It is a family of tasks that answer different questions: registration, activity, picture, age and gender, or a broader supported schema. A beginner should choose the question first, prepare TXT second, and interpret Excel correctly.
The minimum first workflow: if the only question is whether numbers are registered on WhatsApp, choose WS Registration Check; upload UTF-8 TXT with one phone per line; validate the phone and registration columns; never treat registration as marketing consent.
Question 1: what does WhatsApp number checking actually check?
“Number checker” is the broad search term. The exact answer depends on the selected service, so one label cannot stand in for every available field.
| Service | Current Excel fields | Beginner interpretation |
|---|---|---|
| WS Registration Check | Phone number, registration status | Whether a registration signal was returned in this task |
| WS Fast Registration | Phone number, registration status | Same core deliverable through a different service path |
| WS High-Precision Registration | Phone, business account, mapped WhatsApp number | Supported business and mapping results |
| WS Activity Check | Phone, activity time, active days, mapped number | Dated activity fields |
| WS Gender and Age | Phone, age, gender, picture, mapped number | Use only when those fields have a necessary purpose |
| WS Profile Picture | Phone, business account, picture, mapped number | A picture does not verify identity |
| WS Full Format | Ten supported fields | Choose only when several fields are required |
If the question is simply “which numbers are registered on WhatsApp,” do not begin with Full Format. A smaller schema is easier to validate and harder to misinterpret.
Question 2: how should the upload be prepared?
AIPushAI currently accepts TXT, not Excel, CSV, or XLSX uploads. Each line contains one phone number and no name, email, company, region, customer label, or header.
Normalize numbers using reliable country evidence. The ITU-T E.164 international numbering plan defines international number structure, while domestic prefixes and valid lengths depend on the relevant national authority. Do not guess country from length or apply one country code to a mixed list.
| Pre-upload check | Pass condition | If it fails |
|---|---|---|
| Provenance | Source and current purpose can be documented | Return to the data owner |
| Country | Country field or other reliable evidence exists | Move to exceptions; do not guess |
| Format | International representation without display punctuation | Rebuild from the raw value |
| Content | One phone per line and no extra columns | Export plain text again |
| Encoding | UTF-8 and readable after reopening | Convert and run a sample |
| Duplicates | Deduplicated after normalization | Retain the many-to-one internal-ID map |
Question 3: what does “registration status” mean?
It is the result returned for that phone in this WS Registration Check. It is not a synonym for “valid line,” “verified person,” “recently online,” or “permission to message.” Store the exact task name and checked-at date with the value.
| Observed result | Safe record | Do not append automatically |
|---|---|---|
| Registered | WhatsApp registration=yes; checked-at=current task | Active, high intent, consent, verified identity |
| Not registered | WhatsApp registration=no; checked-at=current task | Disconnected line or permanently unavailable |
| Blank / no result | Status=unknown; review | Default no |
| Mapped phone returned | Store beside the source phone | Overwrite the source |
Excel is the output, not the upload. Preserve the untouched workbook and perform matching, labels, and CRM updates in a working copy.
Question 4: registration, activity, or Full Format?
Choose from the decision you need to make, not from the number of available columns.
| Decision | Evidence required | Better-fit service |
|---|---|---|
| Separate registered WhatsApp numbers in an owned list | Registration status | WS Registration Check |
| Schedule existing customer conversations | Supported activity fields and check time | Consider WS Activity Check |
| A defined workflow needs picture and business fields | Picture, business, mapped phone | WS Profile Picture |
| Several supported columns feed approved downstream fields | Purpose, access, and retention per column | Consider WS Full Format |
| Predict who will reply or buy | Observed conversations, orders, pipeline | No number-checking task answers this |
Do not combine gender, age, picture, or skin-tone output into an unverified audience judgment. These fields do not replace identity confirmation and should not be presented as purchasing power or intent.
Question 5: can a business message every registered number?
No. The WhatsApp Business Messaging Policy states that a business may contact a person on WhatsApp only if the person provided the mobile number and granted opt-in permission for subsequent messages or calls. Businesses must also honor requests to stop or opt out.
Keep four layers separate in CRM:
- Source: where and when the number was collected;
- Permission: message category and channel the person accepted;
- Platform: task result and checked-at date;
- Interaction: replies, purchases, complaints, and opt-outs.
Only a traceable separation prevents a platform signal from being promoted into marketing eligibility.
Your first task, step by step
- Select a small set of records with traceable provenance and a defined purpose.
- Keep raw phone and internal ID; create a separate normalized-phone column.
- Export UTF-8 TXT with one phone per line and no header.
- Select WS Registration Check on the AIPushAI WhatsApp (WA/WS) Number Checker.
- Download Excel and reconcile input, accepted, result, and exception counts.
- Import phone, registration status, checked-at date, and batch ID into dedicated columns.
- Use the original permission and opt-out evidence to decide whether and how to continue service.
Six beginner mistakes
- Uploading Excel or CSV instead of converting to TXT.
- Keeping a header, name, or notes in the TXT file.
- Blindly adding one country code to the entire list.
- Selecting Full Format merely because it has more fields.
- Turning blank output into “not registered.”
- Treating registration as consent or high intent.
A successful first task does not maximize the number of columns. It makes every result answer three questions: which list did it come from, which task produced it at what time, and which decision may it support? Build that evidence chain before scaling.
