“Check these Telegram numbers” is not yet a workable instruction. A team must first decide whether it needs registration status, activity-related fields, username data, profile-related attributes or the full available schema. This playbook turns that vague request into an auditable TG workflow. It covers decision design, TXT preparation, task selection, pilot testing and handoff. It does not assume that a registered or active account has agreed to receive marketing.
Begin with a decision tree, not a file upload

The table is a field map, not a promise that every cell will contain a value. Preserve blanks and exception states instead of converting them into guessed facts.
Build the TXT from a controlled source extract
Create two files. The internal source extract keeps customer ID, number, country, acquisition source, permission state and suppression status. The upload file contains only normalized phone numbers, one per line, in TXT format. This separation gives the analyst a join path without submitting unrelated CRM columns.
Normalize country codes consistently, remove display punctuation and quarantine rows whose country cannot be determined. Deduplicate the upload, but retain a local mapping when several customer records share one number. Never let spreadsheet software convert long phone numbers to scientific notation.
Use a pilot to test meaning, not merely completion
A useful pilot includes multiple countries, old and new sources, a few known accounts, formatting exceptions and exact duplicates. Before submission, write down the expected input counts. After download, verify the schema, unmatched rows and join behavior.
If the team chose the activity task, ask analysts to explain each returned field in plain language. If they cannot distinguish active days from user offline time, the full run should wait. A successful download is not the same as a correctly understood dataset.
Read Telegram-related fields within their privacy limits
Telegram lets users control who can see phone numbers and last-seen information. Its official FAQ also explains that approximate last-seen values can be shown under certain privacy settings. A returned UserID or username is an identifier for record handling, not proof of identity. A name field may be user-entered. A “frozen” value should be kept as the service result and not rewritten as a legal or behavioral judgment.
Reconcile Excel results before creating segments
- Store the original workbook as a read-only master.
- Import a copy into a staging table with phone-number columns treated as text.
- Apply the same normalization rule used for the TXT.
- Join to the internal source extract and count matched, unmatched and duplicate rows.
- Keep submitted number, returned username and TG UserID in separate columns.
- Add derived segments only after source authorization and suppression rules are applied.
Match the field to the decision
Registration status can support channel-availability analysis. Active days and offline time can support relative recency grouping. Username and UserID can help reconcile records. Profile-related fields may support a specifically approved segmentation project. None of these observations establishes willingness to receive a message.
A sound segmentation rule combines the selected TG field with internal evidence. For example, a recent customer with recorded permission and a favorable activity band belongs to a different decision context from an imported legacy lead with no source record—even if their Telegram output is identical.
Reject three tempting shortcuts
Shortcut one: order full format for every project. More columns increase handling and interpretation work without necessarily improving the decision. Shortcut two: label every unmatched number “unregistered.” An unmatched result may reflect formatting or reconciliation failure. Shortcut three: treat activity as consent. Technical availability and recipient permission are separate controls.
These shortcuts make the spreadsheet look simpler while making the business conclusion less reliable.

A Telegram number checker becomes useful when the team can explain why each task was selected and how each row reached its final segment. The product supplies returned fields; the operating discipline supplies meaning.
